Proposals

Beta: Proposals is available to selected organizations. Contact Cloudflow support to request access.

Proposals let you present customers with a branded, multi-page offer that shows good, better, and best options, collect an electronic signature, and hand the accepted work to your team. Proposals replace the older Estimates workflow.

Where to Find Proposals

Open Sales > Proposals in the sidebar. The list has tabs for All proposals, Templates, and Drafts, search, and a status filter. Summary figures show open value, acceptance rate, average value, and how long open proposals have been waiting.

Create a Proposal

  1. Select New proposal (or Create proposal from a lead).
  2. Choose the customer, optionally link one of their services, enter a title, and set a Valid until date.
  3. Pick a starting point: Blank proposal, one of your saved company templates, or a manufacturer system (GAF, Owens Corning, CertainTeed, TAMKO, or IKO).
  4. Select Create proposal to open the editor.

Build the Proposal

The editor works page by page: Cover, Introduction, Inspection, Roof systems / pricing, Company, Terms, and Authorization. You can turn pages off and reorder them, add your logo, cover image, company photo, and inspection photos, and choose brand colors.

In the pricing page you can either price a single option or select Set up Good / Better / Best to start three packages from the same items and customize each one. For each item you can:

  • Add materials from your catalog or replace a material.
  • Set the customer price, or enter an internal cost and a target margin. Costs and margins are never shown to the customer.
  • Hide an item or a whole option from the customer, and offer shingle color choices.

If the linked service has Hover or EagleView measurements, use Import measurements or the suggestions under each item to fill quantities. Quantities change only when you accept a suggestion. Use Save as template to reuse a completed proposal later.

Send to the Customer

From the proposal page, use Customer preview to see exactly what the customer will see, then Send estimate to publish it and queue the email. The customer needs an email address on file. Copy customer link and Open customer view are in the More proposal actions menu, and Download PDF produces a copy for printing.

Publishing creates a version that cannot be changed. The Versions card lists every published version, and Activity shows delivery and customer engagement. To change a sent proposal, edit it and publish again; the new version replaces the old link for the customer.

What the Customer Sees

Customers open a secure link, with no login. They can compare the packages, review product selections and optional upgrades, read the terms, and select Approve & sign proposal. To accept, they choose a package, enter their full legal name, draw a signature, and agree to the terms. They can also share the proposal and download the PDF.

Your salesperson (or the proposal creator) receives an email when the proposal is accepted. Once accepted, a Signed copy is available on the proposal page and the customer sees the signed PDF.

Statuses

  • Draft: being built. Ready: reviewed and ready to send.
  • Sent: emailed to the customer. Viewed: the customer has opened it.
  • Accepted: signed by the customer. Declined: turned down.
  • Expired: past its valid-until date. Void: cancelled by your team.
  • Converted: the accepted proposal has been tied to a service.

Tips

  • Add a customer email before sending; otherwise the send button is unavailable.
  • Link a service when you want measurements, service photos, and Hover cover images in the proposal.
  • Proposals can be started from a lead so the customer and source stay connected.
