Tasks and Labels

Tasks give the next step on a job a clear owner and due date. Labels are colored tags that make services easy to spot and filter. Both can be driven by automations so routine follow-ups happen without anyone remembering them.

Tasks

Open Tasks from the main navigation to see work assigned to you. Each task can be linked to a service or customer, has an optional description, one or more assignees (office staff or technicians), and an optional due date and time.

Create and assign a task

  1. On the Tasks page, select Create task.
  2. Enter what needs to be done, add an optional description, and optionally search for the service it belongs to.
  3. Choose assignees and a due date or time, then save.

Owners, admins, and managers can create tasks and assign them to other people. You can also add and review tasks from inside a service.

Find and work through tasks

  • Tasks are grouped into tabs by task name, with a count on each tab.
  • Use the search box and the Open tasks / Completed tasks filter. People with permission to see everyone's work can switch between My tasks and All tasks and filter by assignee, including Unassigned.
  • Filter by due date (Overdue, Due today, Upcoming, No due date) and by source (Manual or Automated).
  • Completed tasks can be filtered by a date range.
  • Select several tasks in a tab and choose Complete to finish them together.
  • Use View services or View on Dispatch to jump to the jobs behind a group of tasks.
  • Reassign a task from the Assigned To column when viewing all tasks.

If automations are set up for a task, completing it can also update the service or correction status or remove a label.

Automated tasks

Admins who manage automations can open Task definitions on the Tasks page, or go to Settings > Tasks. For each automated task you define:

  • Creates this task: the events that create it, such as a service being scheduled, an SLA being breached, a service note being created, or a file being added.
  • Assigned to: the technicians on the service, or specific users.
  • Due: none, a set time after creation, end of the office day, this time next office day, or end of the next office day.
  • Completes this task: events that finish it automatically, such as a service reaching or leaving a status, a correction reaching a status, or a label being removed.
  • When task is completed: update the service status, update the correction status, or remove a service label.

Deleting an automated task removes its rules, but tasks already created stay in place.

Service labels

Labels are managed in Settings > Labels.

  1. Enter a label name (up to 80 characters) and pick a color.
  2. Select the pencil icon on a label to rename it or change its color.
  3. Turn on Show on Dispatch Map to display that label's services on the Dispatch map.
  4. Deleting a label removes it from every service that uses it. The services are not deleted.

To label a service, use the labels control on the service and search for the label. Labels also appear in the Services list and board when the Labels column or card field is turned on, and you can filter services by label.

Automations can react to a label being added or removed, which makes labels useful as triggers for follow-up tasks.

Tips

  • Name automated tasks as actions ("Call customer about estimate") since the Tasks page groups by name.
  • If removing a label will complete automated tasks, you are shown which ones before you confirm.
  • Managing labels requires permission to manage settings.
